Who we are
Popcam provides self-serve headshot kiosks and an online platform that delivers your photos to you. Our website address is https://rentpopcam.com. You can reach us about anything in this policy at support@popcam.me.
Information we collect
When you use Popcam, we collect only what we need to take your photos and deliver them to you:
- Account information: your name and email address. If you sign in with LinkedIn, we receive your name and email address from LinkedIn.
- Photos: the photos taken of you at a Popcam kiosk, or that you take with your own phone using Popcam's virtual headshot feature, along with the edited versions we create.
- Support communications: anything you send us when you contact us.
- Website usage information: non-personally identifiable information such as your IP address, browser type and the pages you visit, collected through cookies and analytics as described below.
We may also collect personal information you voluntarily submit to us through a form, survey or email, such as a phone number or mailing address.
How we use your information
We use your information to:
- Take, edit and deliver your photos to your Popcam account, and give you unlimited downloads of them.
- Deliver photos taken at an event to the organization that hosted it (see “Institutions and event hosts” below).
- Send you emails about your photos and your account.
- Provide support, keep the platform secure, and understand in the aggregate how our website and platform are used so we can improve them.
- Send occasional Popcam news, if you choose to receive it. You can opt out at any time by clicking the unsubscribe link in any email or by emailing support@popcam.me.
How we use your photos
- We use your photos only to provide and improve the Popcam service for you and the organization that hosted your event. When we improve our editing (for example, how we correct lighting), we test changes on photos only inside our own systems, we never share photos with anyone for that purpose, and we never use them to train AI models.
- We don't use your photos in Popcam marketing or advertising without your separate consent.
- We don't sell, rent or license your photos or personal information to third parties.
- Our editing tools locate the face and facial features in a photo so they can crop it, correct its lighting and color, and apply subtle retouching such as light skin smoothing, blemish reduction and eye brightening. We don't use facial recognition, we don't create faceprints or other biometric identifiers, and we don't use your photos to identify you.
- We don't use generative AI to alter your photos, and we never use your photos or personal information to train AI models.
Institutions and event hosts
Many Popcam kiosks are hosted by a school, employer or other organization. When you use a kiosk at a hosted event, that organization's authorized administrators can view and download the photos taken at their events. Your account and your photos still belong to you, and you keep access to them even if you leave that organization.
An organization can ask us to remove its own access to its event galleries at any time. An organization can also forward a deletion request on behalf of its own students or employees. An organization can't have photos deleted for people who aren't affiliated with it, because those accounts belong to the individuals.
Who we share information with
We do not sell or rent your personal information to any third parties. We share it only with the organization that hosted your event, as described above, and with service providers that help us run Popcam. These providers process data only on our behalf and only to provide their service:
- Amazon Web Services (AWS): hosting and storage in the United States, and face detection (Amazon Rekognition) to crop each photo and correct its lighting. We've opted out of AWS using our photos to improve its own services.
- Auth0 (Okta): account sign-in.
- EyeQ (Perfectly Clear): photo enhancement and retouching.
- remove.bg: background removal.
- Google Analytics: aggregate website usage statistics.
- Go High Level (LeadConnector): our customer-relationship and email system, which stores contact details for newsletter sign-ups and people who reach out to us.
- Calendly: scheduling for calls booked through our website. The booking form on our contact page is hosted by Calendly and may use its own cookies.
- PostHog: anonymous usage analytics and session recordings that show how our website and platform are used. They aren't linked to your name, email or IP address.
We'll update this list when our providers change.
How long we keep your information
Photos are deleted from the kiosk as soon as they upload to our platform. On the platform, we keep your photos and account information for as long as your account exists, so you have lifetime access and unlimited downloads. We don't delete your photos on a fixed schedule, because a professional headshot is something people use for years.
You can ask us to delete your photos and account at any time (see “Your rights” below). When we delete your data, we remove it from our live systems within thirty (30) days of your request, and it's removed from our backups as those backups expire, within thirty-five (35) days after that.
Your rights
You can ask us to:
- Give you a copy of the personal information we hold about you.
- Correct your name or email address.
- Permanently delete your photos and account.
To make a request, email support@popcam.me from the email address on your account. We'll respond within thirty (30) days and confirm in writing when your request is complete. We may keep a limited record of the request itself, and any information we're required to keep for legal, security or billing purposes.
Security
We protect your information with industry-standard safeguards. Data is encrypted in transit (TLS 1.2 or higher) and at rest (AES-256), and it's hosted on AWS in the United States. Access to personal data is limited to Popcam staff who need it to provide the service. Popcam also carries cyber liability insurance. No system is perfectly secure, but we work continuously to protect your information.
Cookies and analytics
Our website and platform use cookies to keep you signed in, remember your settings, and measure how the site is used. We use Google Analytics, which uses cookies to track aggregate information such as page visits, time on page and bounce rates, so we can improve the site. We also use PostHog to record anonymous sessions on our website, which show how pages are used (such as clicks, scrolling and page navigation) so we can fix confusing pages. These recordings don't use cookies or browser storage, don't include anything you type into a form, aren't linked to your name, email or IP address, and aren't made if your browser sends a Do Not Track or Global Privacy Control signal. You can decline cookies in your browser settings, but parts of the platform, including signing in, may not work properly if you do.
Legal disclosure
We reserve the right to disclose your personal information as required by law and when we believe that disclosure is necessary to protect our rights and/or comply with a judicial proceeding, court order, or legal process served on us.
SMS communication and consent
Popcam offers customers the option to text with our team. By opting into SMS communications through a web form or other medium, you consent to receive SMS messages from Popcam, which may include:
- Appointment scheduling and reminders
- Order alerts and notifications
- Billing notifications and account updates
Message frequency may vary. Message and data rates may apply. To opt out at any time, text STOP. For assistance, text HELP or email support@popcam.me. Carriers are not liable for delayed or undelivered messages. We do not share SMS consent with third parties for marketing purposes.
Changes to this policy
If we change this policy, we'll post the updated version with a new effective date and version number at this URL. If we make material changes, we'll also notify you by email or with a notice on our website before they take effect. Changes don't apply retroactively to information collected under a prior version without your consent.
